HOA Board is addressing problems encountered with the new directoryBy John Slim and Mike Essman HOA Community Betterment directors
A number of people are puzzled as to how this could have happened. This past year there were some significant changes made in the way HOA residential records are captured and maintained. In large part this was driven by necessity. In late 2008, the HOA board was informed that the software on which resident records were maintained was being phased out and would no longer be supported. It was evident we had to upgrade to a more current architecture. The best choice seemed to be the one we selected—for several reasons. First there was the cost factor; second, it was a more current version of the architecture we were already using; and third, it was the same software that is used by the POA and the chapel, thus offering the HOA some form of vendor consistency. Since the new platform would also be used for the HOA Website, we identified a number of opportunities to enhance some of the capabilities of our website. Working with our vendor, we designed a set of programs that would enable Big Canoe residents to join the HOA or renew their membership online, vote for board members online, and respond online to surveys. It also meant that residents would have to take personal responsibility for the accuracy of their household records. These new capabilities were introduced with articles in Smoke Signals, Smoke Signals Online, and in email blasts during June of 2009. The transition has been extraordinarily difficult. Many, many hours have been spent trying to get a grasp on the new system. Many meetings have been held in an effort to insure that these mistakes are not repeated. We are working with the software vendor to make the process for you simpler. In the meantime, we ask for your indulgence and cooperation. It’s understandable that some residents are upset and confused. We apologize for any inconvenience this may be causing you but you can be assured that your Board is doing everything we can to rectify the problem. Check the accuracy of your contact information in the 2010 Directory We are asking that all residents who have already received their 2010 Directory to please check to see if any information is missing or in need of correction. If so, email the necessary changes to hoa@bigcanoehoa.org so we can include that information in the addendum. |
